Building a Wedding Guest Transport Plan

Plan transfers as individual journeys with passenger counts and contacts. Clear pickup information and a managed change list reduce confusion between venues and hotels.

List journeys before vehicles

Create rows for each arrival, venue transfer and departure. Include date, pickup point, destination, approximate passenger count and planned time. Group guests only when their schedules and luggage needs are compatible. Ask transport suppliers to propose appropriate vehicles against these journeys. A single guest count is not enough to describe transport: the same person may need several trips while another makes their own arrangements.

Check the operating details

Confirm the exact meeting points with the hotel, venue or location operator. Ask the supplier about luggage space, waiting arrangements and how changes affect the accepted quotation. Review any guest access requirements with the responsible professional. Do not set travel times from distance alone; check realistic conditions closer to the event and allow the coordinator to revise the schedule. Share passenger information only with the people operating that transfer.

Manage changes through one contact

Give guests a clear pickup message with the meeting point, time and contact person. Ask the supplier to identify the dispatcher or driver contact for each journey. Maintain a change list for delayed arrivals and guests making alternative plans. Define who can approve an additional vehicle or extra waiting time. Connect the transport schedule to event start times and meal service so a delay can be communicated to the teams it affects.

Quick checklist

  • Record individual journeys and passenger counts.
  • Check luggage and relevant access requirements.
  • Confirm exact meeting points.
  • Name supplier and guest coordination contacts.
  • Agree approval for additional transport costs.

How much time should we allow between venues?

Ask local suppliers to review the actual route and expected conditions near the event. Include boarding and unloading time rather than relying only on a map’s driving estimate.

Put the guide into practice

Prepare your event brief, then discuss the exact location, date and scope with suppliers.
