The Wedding Venue Walkthrough Checklist

Visit a venue with your event plan in hand. Check guest flow, vendor access, utilities and backup spaces before choosing a room for its appearance alone.

Walk the guest journey

Start where a guest will arrive. Follow the route from drop-off to welcome area, ceremony, dining, toilets and departure. Notice stairs, uneven surfaces, long corridors and unclear entrances. Ask how the layout changes when furniture, décor and service stations are installed. Discuss access needs with affected guests and the venue team rather than assuming the space will work for everyone because it looks spacious during an empty visit.

Check how suppliers will work

Ask where equipment enters, where vehicles may wait and when deliveries can begin. Identify power connections, storage, changing rooms and waste collection arrangements. Confirm which staff and furniture are included and what the venue expects outside vendors to supply. A visually attractive room may require extra production work if access is difficult or setup hours are short. Request a floor plan and written answers to the operational questions that affect quotations.

Review the event sequence

Walk through each planned event with realistic furniture positions and service routes. Ask about sound, teardown and the venue’s own operating restrictions without assuming rules are the same in another location. Identify a workable backup space and establish who decides when to use it. Photograph agreed setup areas with permission and label them in your planning folder. After the visit, share one summarized brief with suppliers so their proposals match the venue you inspected.

Quick checklist

  • Test arrival, ceremony and dining routes.
  • Check access needs and guest facilities.
  • Confirm setup and teardown hours.
  • Identify supplier access and power requirements.
  • Request a floor plan and written restrictions.

How many venue visits do we need?

Visit before committing, then arrange an operational review once major vendors and the layout are known. Combine meetings if travel is difficult, but keep a clear record of decisions.

Put the guide into practice

Prepare your event brief, then discuss the exact location, date and scope with suppliers.
