Wedding Catering Costs: Compare Menus and Complete Service
A per-person menu price is only one part of a catering proposal. Compare staffing, equipment, service hours, guaranteed counts and additions before deciding.

Explore location journals →Define the meal and attendance
Give caterers the event format, service time, likely headcount and venue details. Describe whether you expect a seated meal, buffet, counters or several meal periods. Request proposals against the same menu brief and ask which guest number each quote assumes. Record how the final count is agreed and when it is due. Avoid comparing one supplier’s basic meal with another supplier’s full reception service.
Separate menu from operations
Ask whether the quotation includes crockery, cutlery, service staff, kitchen equipment, transport and cleanup. Confirm which items the venue supplies and which the caterer must arrange. Ask about additional counters, extended operating time and meals for working crews. Where charges depend on quantities, write those quantities beside the price. Request clarity on applicable charges rather than making assumptions from the displayed per-person amount.
Use a scenario comparison
Compare proposals at your likely attendance and at a lower or higher count using each supplier’s actual pricing terms. Discuss what would change if an event starts late or guest numbers differ from the final guarantee. Keep the accepted menu, service arrangement and count deadline together. Do not present an illustrative calculation as a local market rate: request dated quotations for the place and date of your wedding. A useful cost comparison shows what guests receive and who delivers it.
Quick checklist
- Send an identical menu and service brief.
- Confirm the guest-count guarantee process.
- List staffing, equipment and cleanup inclusions.
- Price counters and extra service time separately.
- Compare dated quotations for your actual event.
How can we estimate catering without current prices?
Use a planning placeholder in the budget, then replace it with written quotations based on your event, venue and guest range. Keep the estimate clearly marked until scope is confirmed.
Put the guide into practice
Prepare your event brief, then discuss the exact location, date and scope with suppliers.
