Tell the videographer which ceremonies, people and speeches you want preserved. Ask to see full examples of the kinds of films offered, not just a short promotional reel. Discuss how the team balances documentary recording with directed sequences. If a package includes several film formats, ask what each one contains and how long its scope is expected to be. Package labels can describe very different editing outcomes.

Connect coverage with production

Share the schedule, locations and any overlapping events. Ask how many operators attend and who records important audio. Discuss coordination with the photographer and sound team so neither crew assumes the other is covering a key moment. If aerial filming or specialist equipment is proposed, ask the supplier and venue to confirm whether it is appropriate and permitted for the location. Do not treat every portfolio shot as an available feature at your venue.

Agree editing and delivery stages

Request the expected sequence for previews, final films and any additional recordings included. Clarify revision rounds, file formats, storage and the arrangement for obtaining raw footage if you want it. Discuss music selection through the videographer’s professional process rather than assuming any track can be used. Keep the final deliverables list beside the event coverage brief so the contract scope and your expectations describe the same work.
