How to Build a Wedding Budget You Can Actually Use

Turn your guest list and priorities into a working budget. Track complete vendor costs, payment dates and a contingency instead of comparing headline package prices.

Start with decisions, then numbers

Agree on the events you want to host, an initial guest range and the amount available before requesting quotations. Separate contributions already confirmed from money you hope to receive. Write down three priorities as a couple, such as good food, an accessible venue or a strong photography team. These priorities help you make trade-offs when quotations arrive. Keep a second list of optional additions so that an attractive extra does not quietly become a requirement.

Compare the complete cost

Create one row per vendor with columns for scope, quoted amount, transport, setup, overtime, applicable charges and payment dates. Ask which expenses are included and which are billed later. Catering may depend on the guaranteed guest count; décor may change with the size of the venue. Record quantities beside prices so you can compare equivalent offers. A cheaper headline quote can become the more expensive choice when essential items are excluded.

Keep the workbook alive

Update the sheet after every confirmed decision. Distinguish estimates, accepted quotations and amounts already paid. Keep an unallocated contingency rather than spending the entire allowance at the start. When you add something, identify the line that will fund it. Review the remaining balance and upcoming payments together each week as the wedding approaches. Keep invoices and written scope changes in the same folder so the budget reflects the plan that vendors will deliver.

Quick checklist

  • Confirm the available budget and contributors.
  • Record guest assumptions beside catering costs.
  • Ask each vendor for inclusions and exclusions.
  • Track amounts paid and payment deadlines.
  • Keep an unallocated contingency.

What if our quotes exceed the budget?

Revisit guest numbers, event count and optional additions first. Request revised scopes against the same brief, then compare the effect on your three agreed priorities.

Put the guide into practice

Prepare your event brief, then discuss the exact location, date and scope with suppliers.
