How to Compare Wedding Vendor Quotes Fairly

Compare equivalent scope, staffing, timing and delivery responsibilities. A structured quote comparison reveals differences that a headline price cannot explain.

Send the same brief

Describe the service, event date, address, operating hours, guest range and the result you expect. Attach measurements or a venue floor plan when they affect production. Ask vendors to quote against that brief and identify any assumptions they have made. A proposal for a small entrance installation cannot be compared fairly with one that also includes a stage, dining area and crew for the full event.

Build a comparison table

Record each supplier’s quantities, materials, staffing, access needs, included operating time and delivery schedule. List transport, overtime and optional additions separately. Ask who provides power, furniture, storage or support staff. Record the payment schedule and the written policy for scope changes. If a quotation uses words such as premium or standard, ask for a photograph, specification or concrete example that makes the description testable.

Evaluate delivery as well as price

Discuss relevant work samples and how the vendor would respond to your venue’s constraints. Ask who will lead the team on the day and how they will communicate with the coordinator. Resolve exclusions before choosing a supplier rather than assuming the team will cover them later. Summarize the accepted scope in writing and retain the version everyone approved. The comparison should help you choose a deliverable plan within your budget, not simply the smallest number in the table.

Quick checklist

  • Use one brief for every quotation.
  • Compare quantities and operating hours.
  • Separate essentials from optional additions.
  • Identify the event-day team lead.
  • Keep the final accepted scope in writing.

What if a vendor only offers a package price?

Ask for the package’s inclusions, quantities and exclusions in writing. A fixed price can still be compared if you know what it delivers and what you must arrange separately.

Put the guide into practice

Prepare your event brief, then discuss the exact location, date and scope with suppliers.
