Choose what matters immediately

Write a realistic guest range, event list, budget ceiling and a short list of essential services. Decide which choices can remain flexible, including dates, styling details or particular suppliers. Contact venues with the same brief and ask for available dates, access hours and an itemized proposal. Keep a single decision-maker for each major category so vendor questions do not wait for several competing answers.

Use a complete vendor brief

Send each shortlisted vendor the event addresses, likely guest count, timing, required service and approval contact. Ask when they need final quantities or design decisions. Prefer deliverable scopes that can be confirmed now over elaborate concepts with uncertain production needs. Ask clothing suppliers about available options and fitting schedules before committing. Build a written list of decisions with an owner and deadline, then review it several times each week.

Protect the final weeks

Set a cutoff for optional additions that affect other teams. A new performance can alter sound, lighting and ceremony timing; a new gift can add packing and delivery work. Reserve the final weeks for guest confirmations, vendor handovers and checking addresses rather than redesigning the event. Rehearse the sequence with the coordinator, venue and key family contacts. A shorter timeline does not require rushed payments: verify the recipient and accepted scope before recording each payment in your tracker.

Quick checklist

  • Define essential services and flexible choices.
  • Send identical briefs to shortlisted vendors.
  • Record each vendor’s final decision deadline.
  • Assign one approval contact per category.
  • Stop optional changes before the final handover.

Which task should happen first?

Confirm a workable venue and date against your guest range. Many other decisions depend on that combination, including vendor availability, guest travel and setup time.

Put the guide into practice

Prepare your event brief, then discuss the exact location, date and scope with suppliers.
