How to Organize a Guest List and RSVP Tracker
Use one guest list to coordinate invitations, meal counts, rooms and transport. Clear records reduce conflicting numbers as families and vendors make plans.

Create a shared list with a household identifier, guest names, invitation contact and the events each person is invited to attend. Keep the household count separate from the number of individuals. Agree who can edit the list and who approves additions. If different families maintain separate drafts, merge them before invitations go out and check for duplicates. Record a guest’s response rather than relying on a message that only one relative has seen.
Track details that change logistics
Add arrival and departure information, accommodation needs and transport requirements only where they are relevant. Ask guests how they would like dietary or access requirements communicated to the responsible supplier, and share only the details that team needs. Mark uncertain responses separately from confirmed attendance. Set response dates around the venue’s and caterer’s final-count deadlines so there is time to resolve unclear answers.
Turn responses into useful totals
Produce separate totals for each event instead of using one wedding-wide number. Count rooms by the agreed rooming arrangement and transfers by actual journeys, not by the overall invitation count. Record the date of each vendor count update and request acknowledgment when a guarantee changes. Keep an exception list for last-minute additions, children or guests with different schedules. After the wedding, remove working copies that contain personal information you no longer need.
Quick checklist
- Assign a unique household reference.
- Track attendance separately for each event.
- Distinguish invited, confirmed and uncertain guests.
- Match RSVP deadlines to supplier deadlines.
- Share only necessary guest details.
Should we send vendors our full guest list?
Usually they need a relevant count or operational subset. Ask what information is necessary for their task before sharing names, travel details or personal preferences.
Put the guide into practice
Prepare your event brief, then discuss the exact location, date and scope with suppliers.
