Writing a Wedding Lighting and Sound Brief
Give production teams a shared brief for speeches, ceremonies and performances. Clear cues, equipment responsibility and venue coordination matter more than a long equipment list.

Explore location journals →Describe the moments that need support
List each ceremony, speech, entrance and performance with its location and timing. Explain whether the moment needs microphones, playback, stage lighting or general illumination. Ask speakers and performers about their requirements and share them with the production team. Do not assume a décor quotation includes performance sound or that a DJ’s equipment covers every event space. Assign responsibility for each system.
Coordinate equipment with the venue
Ask the venue and qualified suppliers to review equipment positions, power needs and installation arrangements. Discuss cable routes, operating restrictions and access windows through the responsible teams. Include the photography team when reviewing important light positions so the plan supports recording as well as the guest experience. Ask who will operate the equipment throughout the event and whether setup and rehearsal time are included in the quoted scope.
Create a simple cue sheet
Write the sequence of cues in plain language with the person who gives the instruction. Identify the correct version of music tracks and how they will be supplied. Arrange checks or a rehearsal for important speeches and entrances. Establish a fallback for a missing track or microphone issue with the supplier. Share one final cue sheet with the coordinator, performers and production lead so the room is not relying on several different informal instructions.
Quick checklist
- List support needs for every event moment.
- Assign sound and lighting responsibilities.
- Confirm venue review and qualified installation.
- Allow time for checks and rehearsals.
- Issue a single cue sheet with track versions.
Should we choose equipment ourselves?
Describe the outcome and event requirements, then ask a qualified supplier to propose the system. Review scope and operating support rather than selecting equipment names without context.
Put the guide into practice
Prepare your event brief, then discuss the exact location, date and scope with suppliers.
